Two-factor authentication (2FA) is the simple, high-impact fix: even if an attacker has your password, they still can't get into your account without a second piece of proof. It's one of the cheapest, most effective security steps any business can take. Here's how it works.

What is two-factor authentication?

Two-factor authentication (2FA) is a security method that requires two different forms of verification to log in, instead of just a password. The two factors usually come from different categories:

  • Something you know — your password or PIN
  • Something you have — your phone, an authenticator app, or a hardware key
  • Something you are — a fingerprint or face scan

By requiring two of these, 2FA makes sure that a stolen password alone isn't enough to break in.

How 2FA works

The flow is simple:

  1. You enter your password (the first factor).
  2. The system then asks for a second factor — a code from an app, a text message, a push notification you approve, or a fingerprint.
  3. Only after both are verified are you let in.

So even if a hacker has your password, they're stopped at step 2 — because they don't have your phone or your fingerprint.

2FA vs MFA: what's the difference?

You'll see both terms:

  • 2FA (two-factor authentication) uses exactly two factors.
  • MFA (multi-factor authentication) uses two or more.

2FA is really just the most common form of MFA. In everyday use, people use the terms almost interchangeably — the point of both is the same: more than one proof of identity.

  • Push notification — approve or deny a login prompt on your phone. Convenient and strong.
  • SMS text code — a code texted to you. Better than nothing, but the weakest (texts can be intercepted). Use it only if better options aren't available.

For most businesses, an authenticator app is the sweet spot: strong protection, easy to use, and free.
